RESPONSIBILITIES AND TASKS

• Plan, coordinate, and execute national and international meetings at Idorsia, such as Investigator Meetings, advisory boards, medical congress presence including the management of the Idorsia booth logistics, standalone meetings etc. (e.g. choosing locations, sourcing accommodation, arranging equipment, booking space requirements, choosing vendors, selecting menus, arranging transportation for attendees etc.)
• Continuously improve meetings/events policy, processes, and guidelines
• Oversee, compile, assess and control budgets for all meetings
• Establish state-of-the-art contracts with third party suppliers (e.g. hotels, agencies, promotional material suppliers etc. to obtain/negotiate best possible rates and conditions) in collaboration with procurement
• Perform venue site inspections when needed
• Be challenger and supervisor on site of quality adherence of all external service providers.
• Drives the Meetings ensuring that they are compliant with the Pharmaceutical Industry guidelines and Idorsia’s Compliance
• Troubleshooting should any problems or issues arise during the planning or the course of the meetings and events
• Liaise with congress organizers/scientific societies to organize Idorsia presence, attendance, and activities
• Drive compliant HCP contracting process and perform associated logistical arrangements related to events
• Take responsibility for transparency reporting of HCP engagements in a timely manner
• Manage and oversee event management tool for hybrid meetings (Cvent)
• Challenge and supervise quality adherence of all external service providers prior to and during the meeting or event EXPERIENCE
• At least 5 years of experience in successfully planning, managing, and executing global meetings and events in international pharmaceutical companies, including liaising with congress organizers, the event/hospitality industry, societies, and vendors and budget management
• Excellent project management skills, organized with attention to details
• Able to simultaneously plan, coordinate and execute various tasks
• Refined skills as a communicator and efficient negotiator
• Able to deal with conflicting demands and multiple projects
• Flexible self-starter, energetic and motivated. Ability to keep calm and be in control under pressure
• Experienced in working with people on different hierarchical levels and able to establish fruitful working relationships with multiple internal and external stakeholders.
• Experience in liaising with and supporting healthcare professionals
• Understanding of relevant compliance regulations and internal policies and procedures.
• Fluent written and spoken English
• Good knowledge of Microsoft tools and industry IT systems
